Duplicate users, missing users, or users appearing in the wrong location when syncing with Apple School Manager and Jamf School

Issue Description

When syncing users from Apple School Manager (ASM) to Jamf School, duplicate users may appear or users may be missing or appear in incorrect locations.

Troubleshooting Steps

For Duplicate Users

  1. In Jamf School, navigate to Organization > Settings.

  2. Under the Apple School Manager section, select the email listed to access sync settings.

  3. Check the box for "Remove users that are no longer in ASM" to automatically remove duplicate users during the sync.

For Missing Users/Users in the Wrong Location

  1. In Jamf School, navigate to Organization > Settings.

  2. Under the Apple School Manager section, select the email listed to access sync settings.

  3. Scroll to the bottom of the sync settings page and review the location sync drop-downs.

    • Ensure that the locations containing staff and students in Apple School Manager are selected to sync with Jamf School.

  4. Check what classes and locations the student is assigned to in Apple School Manager. Ensure that the user has at least one class with the correct location assigned within Apple School Manager.

    Expected syncing behavior notes:

    • User location in Jamf School is based on the location of the classes they are assigned to NOT on what the user location is designated within Apple School Manager. Having users assigned to classes in multiple locations within Apple School Manager will exhibit unexpected behavior in Jamf School.

    • If the user doesn't have any classes assigned to them then they get designated as Staff within Jamf School and are mapped to the location determined in the Apple School Manager Jamf School settings (Organization > Settings > select Apple Account for Apple School Manager token.

  5. After we ensure that all is configured correctly in Apple School Manager, re-sync via the Jamf School dashboard.
